About the Position:

The Payroll Specialist will be responsible for ensuring the accuracy of company bi-weekly payroll and commission payment functions.  Reporting to the Director of Finance, the Payroll Specialist will be responsible for all payroll reports, spreadsheets, funds distribution, assuring compliance with all applicable federal and provincial regulations, and company policies. This role is expected to act as resident expert on all Dayforce Payroll functionalities and ensure Dayforce technology is fully leveraged for smooth payroll operations.  Other responsibilities will include responding to internal and external inquiries and/or requests for data and/or reports, providing timely and accurate payroll production, managing benefit carrier billings and reconciliations, and, conducting WSIB payroll administration. Additionally, the Payroll Specialist is responsible for processing of staff expenses, journal entry preparation, reconciliations, Employer Health Tax (EHT), Workplace Safety & Insurance Board (WSIB) and various other accounting functions. Integrity, confidentiality, and strong attention to detail are crucial for this role.

Key Functions and Responsibilities:

  • Prepare and administer bi-weekly payroll for all company employees, including commission and bonus payments, while auditing payroll processing reports for accuracy
  • Coordinates the payroll process with Human Resources for the purpose of delivering services in conformance with established guidelines
  • Fully leverage Dayforce payroll functionality (resident expert) and ensure all payroll records are accurate and reliable at all times
  • Compile payroll data such as garnishments, vacation time, insurance and other deductions
  • Extract timesheets and review work hours for completeness and accuracy
  • Ensure all wage changes are made accurately and in time for effected pay periods
  • Follow payroll procedures for terminated employees
  • Stay current with payroll regulations, standards and work methods
  • Ensure accurate processing of sick pay, benefits and vacation payouts, as well as ROE issuance
  • Respond to employee and government agency inquiries in regard to payroll
  • Ensure the creation and timely distribution of T4s
  • Issue ad hoc, monthly, quarterly, and annual reports
  • Implement salary increases, bonuses, commissions, and so on in accordance with instructions given
  • Maintain detailed records and documentation of payroll functions for audit purposes, in accordance with statutory requirements
  • Prepare and oversee the preparation of a variety of payroll related documents (e.g., invoices for overpayments, retirement plan transfers, payroll register, stop payments, worker’s compensation checks, etc.) for the purpose of documenting activities and issues; meeting compliance requirements, and providing audit references
  • Research discrepancies of payroll information and/or documentation (e.g. time sheets, leave time, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing
  • Verifies a variety of payroll related information (e.g., time sheets, direct deposits, wage attachments, benefits, etc.) for the purpose of ensuring accurate distribution of funds and payroll
  • Maintains a wide variety of payroll information, files and records in written and electronic formats for the purpose of providing an up-to-date reference and audit trail for compliance
  • Communicates with a variety of parties (city/provincial/federal agencies, etc.) for the purpose of ensuring accurate processing of payroll deductions/garnishments
  • Administer Equiton’s Fund Matching RRSP
  • Review and manage all benefit carrier billings, reconciliations and payments
  • Support special projects in areas such as pay equity, benefit programs, and employee rewards
  • Adhere to all policies and follow established procedures
  • Performs other duties as required

Required Skills and Abilities:  

  • Strong knowledge of internal controls, and management
  • Experience in managing the processing of salaries, bonuses, commissions, and other forms of compensation
  • Knowledge of audits, income tax forms, fund/stock option programs, health benefits programs, sick pay, and so on
  • Strong knowledge of accounting, and bookkeeping experience
  • Ability to prepare ad hoc reports using Microsoft Excel
  • Must be able to handle confidential information in an ethical and professional manner
  • Strong work ethic and positive team attitude
  • Effective attention to detail and a high degree of accuracy
  • Sound analytical thinking, planning, prioritization, and execution skills
  • Ability to respond appropriately in pressure situations with a calm and steady demeanor
  • Strong customer service focus
  • Highly conscientious, along with an energetic and mature approach to work
  • Required to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions
  • Ability to plan and manage projects
  • Excellent communication skills, including written and verbal
  • Ability to work under limited supervision using standardized practices and/or methods

Education and Experience:

  • University degree in Accounting, Business, or Finance is preferred.
  • Minimum of 3-5 years’ experience with Ceridian Dayforce or related system.
  • Payroll certification or completed payroll courses
  • Strong knowledge of Employment Standards Act and payroll requirements across all provinces
